Optimize Microsoft 365 usage with Copilot M365 & Copilot Studio

This use case illustrates how IT Systèmes helped a customer set up a structured, secure and governed approach based on Copilot.

A new era in productivity with Copilot

The arrival of Copilot M365 ushers in a new era for productivity: accelerated authoring, intelligent summarization, task automation and personalized assistance across all Microsoft 365 applications (Teams, Outlook, Word, Excel, PowerPoint...).
At the same time, Microsoft Copilot Studio now enables organizations to create their own intelligent agents, capable of automating business processes, interacting with internal data and orchestrating end-to-end actions.
To take full advantage of these two dimensions, Copilot M365 for users and agentic via Studio for business processes, it is necessary to adopt a structured, secure and governed approach.

Customer challenge: to adopt Copilot safely and successfully

The customer wanted :

  • Deploying Copilot M365 smoothly
  • Securing access to data used by Copilot
  • Identify high-value use cases
  • Gradually develop agents via Copilot Studio to automate certain internal processes
  • Support your teams to integrate these new uses naturally

Our approach: building a coherent, governed AI strategy

Analyzing and understanding usage

We began by analyzing the real uses of Microsoft 365 and business needs:

  • Identifying irritants in current workflows
  • Understanding which tasks can be accelerated by Copilot M365
  • Identify repetitive or manual processes that can be automated via agents
  • Mapping critical data to validate governance and confidentiality

Copilot & Agentique strategy design

Section 1 - Copilot M365

We have built a coherent framework for the adoption of Copilot :

  • Access activation, configuration and management
  • Optimization of data sources (SharePoint, OneDrive, Teams)
  • Rules of governance and confidentiality
  • Best practices for maximizing the quality of Copilot responses

Section 2 - Agentique with Copilot Studio

At the same time, we designed the first wave of internal agents:

  • Definition of use cases (HR, IT, finance, support, etc.)
  • Agent design: role, scope, accessible data, authorized actions
  • Configuration of connectors, orchestrations and automations
  • Safety framework, compliance rules and best practices

The aim is to enable Copilot M365 to help employees, and Studio agents to automate processes.

Deployment & integration

  • Copilot M365 gradually rolled out to users
  • First Copilot Studio agents deployed in pilot environment
  • Integration of agents in M365 applications (Teams, SharePoint, etc.)
  • Functional testing, security validation, optimization of prompts and actions
  • Supporting business teams in adopting scenarios

Adoption & upgrading

  • Business workshops to find out how Copilot can speed up your daily routine
  • Dedicated training to learn how to design or improve agents
  • Customized documentation: best practices, security, governance
  • Feedback sessions and ongoing adjustments

Results

  • Rapid, natural adoption of Copilot M365
  • Automate tasks and processes with Copilot Studio agents
  • Concrete productivity gains (writing, synthesis, analysis, support)
  • Controlled governance: secure data, certified access, clear framework
  • Greater internal capacity to develop or create new agents
  • An organization ready to exploit the Copilot ecosystem over the long term
