The short answer
For an SME, there are two types of AI help desks, and they don’t address the same need. The first is a managed service with an AI agent: a service provider handles your IT support, and its AI agent processes some of the tickets. This is what IT Systèmes offers with Helpy, at €12 (excl. tax) per user per month, with 60% of Level 1 tickets resolved without human intervention (based on data from June through August 2026 across 55 contracted customers). The second is help desk software with AI features that you operate yourself: Witivio AI Desk Pro, Freshservice, Zendesk, or Moveworks. These tools require an in-house support team to handle issues that the AI cannot resolve.
So, the question to ask yourself before comparing prices is: Do you have an IT team to run the help desk, or are you looking to outsource it?
The Two Types of AI Help Desks
Managed Service with AI Agent
The service provider is your IT support team. The AI agent serves as the first line of support: it understands the request, searches for the answer in the documentation and ticket history, and performs routine tasks (password resets, account unblocking, permission checks). Anything it cannot resolve is escalated to a technician at the service provider. You don’t have to do anything, and you pay per covered user.
AI-powered help desk software
You purchase a tool, connect it to your knowledge base, and the AI answers simple inquiries or assists your technicians. Anything the AI can't resolve is handled by your team. You pay per agent (that is, per technician who uses the tool), sometimes with an additional fee per automated resolution. This is the right choice if you already have an IT department and a ticketing system.
2026 Comparison
The prices below were recorded on September 17, 2026, on the publishers’ pricing pages, based on annual billing. They change regularly: be sure to check them before making a decision. “Not public” means that the publisher does not publish prices.
Two things to keep in mind when reading this. First, the units are not comparable: Helpy charges per covered user, while software is charged per agent—that is, per technician who uses it. An SME with 50 employees and 2 technicians will pay for 2 software licenses but must provide the 2 technicians. Second, software does not include deployment, knowledge base setup, or agent supervision: these tasks are your responsibility or are billed separately.
How to Choose
You don't have an IT department, or you have just one person. AI-powered help desk software won't solve your problem: no one will handle the tasks that the AI can't do. A managed service is the only option that covers everything.
You have an IT team and a ticketing system. An AI agent integrated with your system (Witivio in Teams, Freddy in Freshservice) reduces your Level 1 support workload without changing your workflow. Check which plan the AI agent is actually included in: at Freshservice, the conversational AI agent is only available in the Enterprise plan, which requires a quote.
You have an IT team, but it’s overwhelmed by Level 1 support. Both solutions work. The managed service with an AI agent integrates with your existing ITSM (Helpy connects to GLPI, ServiceNow, Freshdesk, and Jira) and adds human support for issues the AI can’t handle.
You're a large, multilingual company. Moveworks and ServiceNow are designed for this scenario, with pricing to match.
Questions to Ask Before Signing
- What percentage of tickets does AI actually resolve, as measured among production customers and over what time period? A figure without a time period or scope is not a metric.
- Does the AI simply respond, or does it perform actions within the information system (resets, unlocking, permissions)? Who approves sensitive actions?
- Where is the data stored, and are your conversations used to train a third-party model?
- What happens to requests that the AI cannot resolve: Who handles them, how long does it take, and how much does it cost?
- Who organizes and maintains the knowledge base? That's what determines the quality of the answers, and it's rarely mentioned.
- Can you retrieve your knowledge base and history if you leave?
What IT Systèmes Offers
Helpy is IT Systèmes’ AI help desk agent. It is part of“hypermanagement,” our AI-enhanced managed services offering, and is also available as a standalone solution with a human support team available from 8 a.m. to 7 p.m. It is hosted in France, does not feed any third-party models, and integrates with Microsoft Teams, GLPI, ServiceNow, Freshdesk, Jira, and Active Directory. Deployment takes four to twelve weeks, depending on the scope. Details, FAQs, and performance metrics can be found on the AI Help Desk page, and the full pricing for managed services is available in our article “How Much Does Managed Services Cost for an SMB?”
Frequently asked questions
Does an AI help desk replace IT support?
No. It handles repetitive Level 1 requests and forwards the rest to human agents. At IT Systèmes, 60% of Level 1 tickets are closed without human intervention (June through August 2026, 55 clients). The remaining 40%, along with all Level 2 and Level 3 tickets, are handled by technicians.
What is the difference between a chatbot and an AI help desk agent?
A chatbot responds based on an FAQ. An AI agent understands the request, searches your documentation, and performs an action in the information system—for example, a password reset in Active Directory.
How much does an AI help desk cost for an SME?
For a managed service, IT Systèmes charges €12 (excluding tax) per user per month. For software, expect to pay between €15 and €115 per agent per month, depending on the vendor and the plan, plus AI-related fees, plus the time your team spends deploying it and handling unresolved tickets.
Do we need to switch ticketing tools to add an AI agent?
Not necessarily. Helpy integrates with GLPI, ServiceNow, Freshdesk, and Jira. Witivio connects to ServiceNow and Jira Service Management via connectors.
